2. Bookings and Confirmations

A booking is only confirmed once DVB Productions has accepted the booking and any required deposit or booking fee has been received.

Clients are responsible for providing accurate booking information, including names, contact details, event dates, locations, times, access requirements, and any special instructions.

3. Deposits and Payments

DVB Productions may require a deposit, booking fee, or upfront payment to secure a date or service. Payment terms will be confirmed in the quotation, invoice, booking form, or written communication.

Unless otherwise agreed in writing, outstanding balances must be paid before final delivery of photographs, videos, prints, downloads, or completed work.

Prices may vary depending on the service, travel requirements, event duration, editing requirements, print products, gallery options, or additional client requests.

4. Cancellations and Rescheduling

If you need to cancel or reschedule a booking, please notify DVB Productions as soon as possible in writing.

Deposits, booking fees, or cancellation charges may apply where a booking is cancelled, postponed, or changed. Any cancellation charge will be assessed reasonably, taking into account the nature of the service, notice period, work already performed, expenses incurred, and the possibility of accepting another booking for the same date.

DVB Productions will make reasonable efforts to accommodate rescheduling requests, subject to availability.

5. Client Responsibilities

Clients are responsible for ensuring that DVB Productions has reasonable access to the venue, subjects, event schedule, and any required permissions needed to perform the services.

For events, clients should provide accurate timelines and advise DVB Productions of key moments, important people, venue rules, safety requirements, or restrictions that may affect photography or videography.

Where services involve schools, children, learners, guests, venues, animals, products, or third parties, the client is responsible for ensuring that the required permissions, consents, or approvals are in place where applicable.

6. Creative Style and Editing

By booking DVB Productions, you acknowledge that photography and videography are creative services. The final images, videos, edits, colour grading, composition, and production style will be based on DVB Productions’ professional judgement and creative approach.

Reasonable editing, selection, retouching, and post-production are included where applicable. Extensive revisions, additional edits, re-edits, special effects, or custom requests may attract additional charges.

7. Delivery of Photos, Videos, and Products

Delivery timelines may vary depending on the type of service, event size, editing requirements, season, workload, print production, or third-party service providers.

DVB Productions will make reasonable efforts to deliver work within the estimated timeline communicated to the client. However, delivery dates are estimates unless expressly agreed otherwise in writing.

Digital files may be delivered through online galleries, download links, cloud storage, USB drive, or another agreed method. Physical products may include prints, albums, or other printed items where applicable.

8. Online Galleries, Proofs, Prints, and Downloads

Client galleries, proofs, downloads, and print orders may be made available through online platforms. Clients are responsible for keeping gallery links, passwords, access codes, and download files secure.

Gallery availability may be limited to a specific period. Clients should download, back up, or order required files within the communicated availability period.

Print colours and final appearance may vary slightly due to screen settings, print materials, cropping, paper type, and third-party printing processes.

9. Copyright and Usage Rights

Unless otherwise agreed in writing, DVB Productions retains copyright and ownership of all photographs, videos, raw files, edited files, designs, and creative work produced.

Clients receive a personal or agreed usage licence to use the final delivered images or videos for their intended purpose. This may include personal sharing, printing, online posting, or business use, depending on the service booked and the agreement in place.

Clients may not sell, license, alter, edit, commercially distribute, or submit DVB Productions’ work to third parties without prior written permission, unless this has been included in the agreed service package.

10. Raw Files and Unedited Content

Raw, unedited, unused, or behind-the-scenes files are not included as part of standard delivery unless specifically agreed in writing.

DVB Productions reserves the right to select the final images or footage suitable for editing and delivery.

11. Use of Images for Portfolio and Marketing

DVB Productions may request permission to use selected photographs or videos for portfolio, website, social media, advertising, or promotional purposes.

Where consent is required, especially for private events, schools, learners, minors, or sensitive projects, DVB Productions will respect the applicable consent arrangements and client instructions.

If you do not want your images or videos used for promotional purposes, please notify DVB Productions in writing before or at the time of booking.

12. Privacy and Personal Information

DVB Productions respects your privacy and processes personal information in accordance with applicable South African privacy laws, including the Protection of Personal Information Act where applicable.

Personal information may be used to manage bookings, communicate with clients, deliver galleries, process orders, issue invoices, provide services, and maintain business records.

13. Third-Party Services

DVB Productions may use third-party service providers for website hosting, booking systems, online galleries, payment processing, printing, delivery, cloud storage, or technical support.

DVB Productions is not responsible for delays, outages, errors, data loss, printing differences, platform changes, or service interruptions caused by third-party providers, although we will take reasonable steps to assist where possible.

14. Travel, Venue, and Additional Costs

Travel, accommodation, parking, venue access fees, permits, overtime, additional editing, extra coverage, or special production requirements may be charged separately where applicable.

Any additional costs will be communicated to the client where reasonably possible before they are incurred.

15. Event Conditions and Limitations

DVB Productions will make reasonable efforts to capture the requested moments, but cannot guarantee specific images or footage where circumstances are outside our control.

This may include poor weather, venue restrictions, lighting limitations, late arrivals, schedule changes, restricted access, equipment interference, guest behaviour, safety concerns, animal behaviour, or other unexpected conditions.

16. Limitation of Liability

DVB Productions will take reasonable care in providing its services. However, to the fullest extent permitted by law, DVB Productions will not be liable for indirect, incidental, special, or consequential loss arising from the use of our website, services, galleries, downloads, or delivered content.

Where liability cannot legally be excluded, DVB Productions’ liability will be limited to the amount paid by the client for the specific service giving rise to the claim, unless otherwise required by law.

17. Website Use

You agree not to misuse the DVB Productions website, interfere with its operation, attempt unauthorised access, upload harmful content, copy protected material without permission, or use the website for unlawful purposes.

18. Changes to Services and Terms
